What is a sales pipeline?
A sales pipeline is a visual representation of where each lead is in your sales process. How many stages should my pipeline have?
Most effective pipelines have 4-6 stages. Too few and you lack visibility; too many and leads get stuck. A classic setup: New Lead → Qualified → Proposal Sent → Negotiating → Won/Lost. Adjust based on your sales cycle.
Can I have multiple pipelines?
Yes. Create different pipelines for different products, services, or funnels. A coach might have "1-on-1 Coaching Pipeline" and "Group Program Pipeline." An agency might have "Website Projects" and "Retainer Clients." Each pipeline tracks its own stages and leads.
What stages should I start with?
Start with the minimum viable pipeline: (1) New Lead - just captured. (2) Contacted - you've reached out. (3) Qualified - they fit your criteria. (4) Proposal - you've presented your offer. (5) Closed Won/Lost - final outcome. You can add more stages as you learn your process.
How do I move leads between stages?
Drag and drop in the pipeline view, or click a lead and change their stage from the dropdown. When you move a lead to a new stage, the timestamp updates so you can track how long they've been at each step.
Should I track lost leads?
Yes, always. A "Lost" or "Not Now" stage is valuable for: (1) Understanding why deals fall through. (2) Re-engaging later when timing is better. (3) Tracking your actual conversion rate. Don't delete lost leads—archive them.
How do I customize stage names?
Go to Settings → Pipelines, click on your pipeline, and you'll see the stage list. Click any stage name to edit it. Use action-oriented names like "Proposal Sent" instead of vague ones like "Stage 3."
